Please read these terms before booking. They explain whether Loop Travel is acting as an agent or package organiser, how payments and changes work, and the protections that apply to your trip.

Loop Travel is operated by Janine Loves Ltd t/a The JLT Group. Protected Trust Services (PTS) No. 6090. ATOL No. 12564.

01

Introduction

These terms set out the agreement between you and Loop Travel (operated by Janine Loves Ltd t/a The JLT Group) when booking travel services through a Loop Travel agent. By booking, you confirm that you are over 18, have read these terms and accept responsibility for all people on the booking. Your contract begins when written confirmation is issued.

Agent authority

Agents are authorised to sell travel services on our behalf but may not make verbal promises, guarantees or amendments to these terms unless we confirm them in writing.

02

Our role

Acting as agent

Where we act as agent for a third-party supplier, your contract is with that supplier. Their conditions apply. We are not responsible for the supplier’s performance, but we will assist in resolving issues.

Acting as principal

Where we create and sell packages under our ATOL or PTS protection, your contract is with us and we are responsible for proper delivery under the Package Travel Regulations 2018.

03

Booking, payment & pricing errors

A deposit or full payment is required at booking. Balances must be paid by the due date on your confirmation. Late payment may result in cancellation and cancellation charges.

Pricing errors

We reserve the right to correct obvious errors in advertised or confirmed prices. You will be offered the option to pay the correct price or cancel for a full refund.

Non-refundable deposits & fees

All deposits, administration fees, service charges and subscription fees are strictly non-refundable unless expressly stated otherwise at the time of booking.

Chargeback protection

You agree not to raise an unwarranted chargeback against non-refundable deposits, cancellation fees or services rendered. A chargeback raised before travel will be treated as a cancellation and standard charges will apply. You remain liable for the full booking cost plus any recovery costs incurred.

Booking accuracy

Please check all documents on receipt. Names must match passports exactly. Supplier fees arising from incorrect information you provide will be passed to you.

04

Service charges

05

Flights

For standalone flights, your contract is with the airline. We accept no liability for the flight itself. Where flights form part of a package sold by us as principal, we are responsible for the full package. Charter flights will be confirmed as either agent or principal in your booking documentation.

06

Changes & cancellations by you

All amendment or cancellation requests must be made in writing by the lead passenger. Notice takes effect from the date we receive it in writing.

Amendment fees

Changes are subject to an administration fee of £25 per person per change, plus any supplier charges. Changes cannot be guaranteed; if unavailable, the original booking stands.

Standard cancellation charges for packages

More than 70 daysLoss of deposit
70 to 29 days50% of total cost (or deposit if greater)
28 to 15 days75% of total cost (or deposit if greater)
14 days to departure100% of total cost

Supplier cancellation terms

The table shows minimum charges. Where a supplier’s terms impose a higher charge, for example from a cruise line or airline, the higher amount applies. Supplier-specific terms will be disclosed at booking and noted on your confirmation.

Ticketed flights

Flights are ticketed on receipt of your balance payment in full. Once ticketed, the full flight cost is immediately and wholly non-refundable by the airline, regardless of when you cancel. The cancellation charge will be the higher of the standard table or the actual non-refundable flight cost. Please ensure travel insurance is in place before paying your balance.

Extraordinary circumstances & FCDO advice

You may cancel a package without charge if unavoidable and extraordinary circumstances at your destination significantly affect the package. If the FCDO advises against all but essential travel to your destination and that advice remains in place at departure, you may cancel a package and receive a full refund.

07

Changes & cancellations by us

Supplier-initiated changes

We will notify you of supplier amendments as soon as possible. Alternatives or refunds offered by the supplier will be communicated with a response deadline. We are not liable for supplier changes unless we are the package organiser.

Significant changes to packages

If we must make a significant change, for example a departure-time change of 12 or more hours, accommodation downgrade or material itinerary change, you may accept the change, accept a comparable alternative or cancel for a full refund.

Price adjustments

Package prices may be adjusted for changes in transport costs, taxes or exchange rates. If the increase exceeds 8% of the total cost, you may cancel for a full refund. Price decreases will be refunded less reasonable administration costs.

08

Our responsibility & liability

Acting as agent

We select suppliers with reasonable skill and care but are not liable for a supplier’s performance unless we have been negligent in our selection.

Acting as principal

We accept responsibility for proper package performance. Compensation will be offered where services are not delivered as contracted, unless the failure is caused by you, an unconnected third party or extraordinary circumstances.

Limitation of liability

For packages, our maximum liability, excluding personal injury or death caused by our negligence, is three times the price paid per affected person. We are not liable for independently booked excursions or activities. The Montreal Convention applies to flights.

09

Financial protection

All bookings are financially protected through Protected Trust Services (PTS No. 6090). Your money is held in trust and protected in the event of our insolvency. Flight-inclusive packages where we act as principal are additionally protected under ATOL No. 12564. You will receive an ATOL Certificate confirming cover. Where we act as agent, the supplier’s ATOL protection applies.

10

Package holidays

Where we are the package organiser under the Package Travel Regulations 2018, we are responsible for all services even where performed by third parties. Packages may be transferred to another person for an administration fee of £50–£100 plus supplier charges, subject to reasonable notice.

11

Extraordinary circumstances

We will not be liable if our obligations are affected by unavoidable and extraordinary circumstances beyond our control, including warfare, terrorism, pandemics, natural disasters, severe weather, industrial action or government action. We will take all reasonable steps to minimise the impact on your arrangements.

12

Insurance

Travel insurance is a condition of booking. Your policy must, as a minimum, cover cancellation, medical expenses and repatriation. We are not liable for losses that would have been covered by adequate insurance. Travelling without insurance is entirely at your own risk.

13

Passports, visas & health

You are solely responsible for ensuring all party members hold valid travel documents and meet all entry, visa and health requirements. Passports must generally be valid for six months beyond your return date. Advanced Passenger Information must be submitted accurately. We are not liable for costs arising from failure to hold correct documentation. Check current official foreign-travel advice before booking and before travel.

14

Special requests & medical information

Special requests, including dietary, accessibility and room preferences, must be made at booking. We will pass these to the supplier but cannot guarantee fulfilment. If anyone in the party has a medical condition, disability or reduced mobility, full details must be provided before confirmation. We cannot be held responsible for issues arising from undisclosed conditions.

15

Accommodation & local charges

Ratings are provided by suppliers and may vary by country. Rooms are allocated on arrival subject to availability. Local taxes, resort fees, air conditioning and certain hotel services may carry additional charges payable locally. Known charges will be advised at booking.

16

Building works & third-party guests

Where notified of significant building works that may affect your stay, we will inform you before departure and seek remedies if material. We do not have exclusive use of featured properties; other guests, including corporate groups, may be present.

17

Behaviour & indemnity

You must conduct yourself lawfully throughout your trip. Suppliers may terminate your booking without refund if behaviour is disruptive, threatening or damaging. You are liable for property damage caused. You agree to fully indemnify us and our agents against claims, costs or losses arising from your conduct or that of anyone in your party.

18

Delivery of documents

We are not responsible for the loss of travel documents once they have been delivered to you or your agent, unless the loss is due to our negligence. If documents are lost or need to be reissued, charges may apply. Please check all documentation carefully on receipt and notify us immediately of errors or omissions.

19

Final travel checks

You are responsible for checking all travel documents carefully before departure. Please reconfirm flights directly with the airline at least 72 hours before departure, as flight times may change after confirmation. We are not liable for costs arising from schedule changes communicated by the airline but not acted upon by you.

20

Complaints

Report issues immediately to your Loop Travel agent and the relevant supplier. If unresolved, submit a written complaint within 28 days of your return date. Failure to report promptly may affect your rights. Unresolved disputes may be escalated through PTS or an appropriate ADR scheme.

21

Privacy

Your personal data will be used to fulfil your booking and may be shared with suppliers, airlines and relevant authorities as required. Read our Privacy Policy for more detail.

22

Governing law

These terms are governed by English law. The courts of England and Wales have jurisdiction, although customers in Scotland or Northern Ireland may bring proceedings in their local courts under applicable local law.
